Privacy policy

Stevenage Leisure Limited (SLL) is a registered charity (no. 1144638), one of the UK’s leading ‘leisure trusts’, and a community-based and focused Non-Profit Distributing Organisation (NPDO). They manage various centres across Hertfordshire, Bedfordshire and Rutland. Their head office is located at Stevenage Arts & Leisure Centre, Lytton Way, Stevenage, Hertfordshire, SG1 1LZ. The company is registered in England under company number 3446357.
This policy was made in light of the requirements set out by the General Data Protection Regulations (GDPR) 2018 in order to explain our data processing practices. It explains the basis on which we will process any personal data we collect from you, or that you provide to us.

Who do we collect data from?

We collect and process data from a range of individuals, including those that have become a member at one of our centres, those that have expressed a strong interest in joining one of our centres, those that have used or have expressed a strong interest in using our services and activities, those that are members of or have expressed an interest in joining our swim school and those that have visited our website. The information collected when you browse our website is called cookies. Please view the ‘cookies’ section within this Privacy Policy for more information on this. We also collect information when you voluntarily complete customer surveys, provide feedback and participate in competitions.
 

What information do we collect about you?

When joining one of our centres or booking an activity, we collect and process first name, last name, date of birth, postal address and bank details under the lawful processing of contract. We do not store your bank details on our web servers. This information is required to process your membership or book your activity with us. We also collect and process ethnic origin (for membership purposes), email address and telephone number under the lawful processing of legitimate interest.
 
We also collect information about your health and fitness goals, interests, any relevant medical information and an emergency contact when taking out a membership. This is to ensure your health and safety when using our facilities and is also processed under the lawful processing of legitimate interest.
 
If you are using any of our child activities or services including our play scheme, crèche, parties or swim school, we will collect and process your child’s name and data of birth as well as the parent/carer’s name, date of birth, postal address and bank details under the lawful processing of contract. We also collect and process email address, and telephone number under the lawful processing of legitimate interest.
 
We also collect data on what facilities you use in in any of our centres.

How will we use the information about you?

The information collected when you join one of our centres or book an activity is required to ensure you get the most benefit from our services. The data will be used to set up, verify and manage your membership/activity, create tailor-made programmes, allow you to track your workout progress and to verify what activities you have undertaken.
 
The information collected on behalf of a child using our services is required to set up their membership/activities. Parent/carer details are required to verify and manage this membership/activity on their behalf.
 
When processing your membership/booking with us, we may send your details to, and use information from, credit reference agencies and fraud prevention agencies where necessary.
 
We collect data on the facilities you have used to keep you updated by text, email and/or phone on relevant matters such as class cancellations, membership terms or bookings changes, booking confirmations, and important updates regarding the centre and changes to your membership.
 
We will also contact you via email, telephone, text and/or post about our other products and services we think may be of interest to you. You will have the option to opt-in to these when you initially provide data to us or when we collect data from you, and can opt out/update your preferences at any time.
 
We use information collected from the website to get an idea of best performing web pages.
 
If you have used our facilities, we will keep your data for a period of 13 months after your last activity or your membership/booking has ended. After this, your data will be archived for seven years and then securely disposed of.

Who has access to your information?

We will not sell or rent your information to third parties. We will also not share your information with third parties for marketing purposes.
 
We will only share your information with trusted third parties for member management purposes. Your data is only viewable by SLL and the third party company and will not be passed on to any further third parties except where legally necessary.
 
SLL operates as a data controller or joint data controller with various local authorities/professional bodies. Depending on the centre you use, one of the following bodies can also view your data:

Marketing

We would like to send you relevant information about our products and services which we believe would be of interest to you. We will not send any marketing material on behalf of third parties.
 
You have the right to opt out of receiving these messages at any time by following the instructions on your marketing communication, by emailing us on enquiries@sll.co.uk or by contacting the Data Controller on the aforementioned details.
 

Access to your information and correction

Please be aware we do require an identification process before sending out any information. We will supply the data within one month.
 
We want to make sure that your personal information is accurate and up to date. You may also get in contact to ask us to correct or remove information you think is inaccurate, or to update your communication preferences. You may do this by contacting the centre you are a member of/have booked with, writing to us on the above address or email enquiries@sll.co.uk.
 
You have the right to complain to the Information Commissioner’s Office (ICO) if you believe there is a problem with the way we are handling your information.
 

Cookies

The SLL website uses cookies to gather certain information about you. Cookies are pieces of information placed on your computer to allow websites to recognise you when you visit. It collects information about your browsing actions and visitor behaviour information but does not identify you as an individual.
 
We use the information gathered from cookies to get an idea of what elements of the website are best performing and what could be improved.

We keep our privacy policy under regular review and we will place any updates on this page. This privacy policy was last updated on 24 April 2018, in-line with GDPR.

We are committed to ensuring the protection of your personal information. Any payment transactions made will be encrypted and protected using SSL technology.
The transmission of non-sensitive details (such as your email address) made via the internet is not guaranteed 100% secure, except where you see the green padlock in the address bar. Although we will do our best to protect your personal data, we cannot guarantee the security of any data transmitted to our site (unless you see the aforementioned padlock icon); any transmission will be at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential.
