Stevenage Leisure Limited (SLL) is a registered charity (no. 1144638), one of the UK’s leading ‘leisure trusts’, and a community-based and focused Non-Profit Distributing Organisation (NPDO). They manage various centres across Hertfordshire, Bedfordshire and Rutland. Their head office is located at Stevenage Arts & Leisure Centre, Lytton Way, Stevenage, Hertfordshire, SG1 1LZ. Who do we collect data from?

When joining one of our centres or booking an activity, we collect and process first name, last name, date of birth, postal address and bank details under the lawful processing of contract. We do not store your bank details on our web servers. This information is required to process your membership or book your activity with us. We also collect and process ethnic origin (for membership purposes), email address and telephone number under the lawful processing of legitimate interest.
We also collect information about your health and fitness goals, interests, any relevant medical information and an emergency contact when taking out a membership. This is to ensure your health and safety when using our facilities and is also processed under the lawful processing of legitimate interest.
If you are using any of our child activities or services including our play scheme, crèche, parties or swim school, we will collect and process your child’s name and data of birth as well as the parent/carer’s name, date of birth, postal address and bank details under the lawful processing of contract. We also collect and process email address, and telephone number under the lawful processing of legitimate interest.
We also collect data on what facilities you use in in any of our centres.
When expressing a strong interest in joining one of our centres or using our services and activities, we collect and process first name, last name, postal address, email address and telephone number. If your interest has been in a child activity, we will also process the child’s name and date of birth. This is processed under the lawful processing of legitimate interest.

How will we use the information about you?
The information collected when you join one of our centres or book an activity is required to ensure you get the most benefit from our services. The data will be used to set up, verify and manage your membership/activity, create tailor-made programmes, allow you to track your workout progress and to verify what activities you have undertaken.
The information collected on behalf of a child using our services is required to set up their membership/activities. Parent/carer details are required to verify and manage this membership/activity on their behalf.
When processing your membership/booking with us, we may send your details to, and use information from, credit reference agencies and fraud prevention agencies where necessary.
We collect data on the facilities you have used to keep you updated by text, email and/or phone on relevant matters such as class cancellations, membership terms or bookings changes, booking confirmations, and important updates regarding the centre and changes to your membership.
The data collected when you have expressed a strong interest in joining one of our centres or using our services is used to keep you up-to-date . This can include letting you know when a space has become available on a waiting list or letting you know about information happening regarding that centre.
We will also contact you via email, telephone, text and/or post about our other products and services we think may be of interest to you. You will have the option to opt-in to these when you initially provide data to us or when we collect data from you, and can opt out/update your preferences at any time.
We use information collected from the website to get an idea of best performing web pages.
If you have used our facilities, we will keep your data for a period of 13 months after your last activity or your membership/booking has ended. After this, your data will be archived for seven years and then securely disposed of.

Who has access to your information?
We will not sell or rent your information to third parties. We will also not share your information with third parties for marketing purposes.
We will only share your information with trusted third parties for member management purposes. Your data is only viewable by SLL and the third party company and will not be passed on to any further third parties except where legally necessary.
SLL operates as a data controller or joint data controller with various local authorities/professional bodies. Depending on the centre you use, one of the following bodies can also view your data:
